1. Overview & Commitment to Privacy

InkMate Technologies Pvt. Ltd. ("InkMate", "we", "our") is committed to handling personal data transparently, securely, and in strict adherence to the Information Technology Act, 2000 and the Digital Personal Data Protection Act (DPDP Act, 2023) of India.

This Privacy Policy details how we handle two distinct categories of information:

  • Merchant Account Data: Information collected from print shop owners, staff, and partners who register to use the platform.
  • Customer Document Files: Documents, images, and contact numbers provided by walk-in customers to print at a shop counter.

2. Customer Document Security and Automatic Deletion

Walk-in customers regularly send sensitive documents to print shops, including government IDs, exam admit cards, financial statements, and medical reports. We treat customer files with the highest standard of confidentiality:

  • Ephemeral Storage: When a customer submits a file via QR upload or WhatsApp bot, the file is securely cached in encrypted cloud storage solely to render page counts and transfer the job to the merchant's paired desktop printer.
  • Automatic File Deletion: InkMate does not permanently archive or build databases of customer files. Uploaded files are automatically purged from our cloud servers upon successful spooling or after an automated expiration window (maximum 24 hours).
  • Zero Document Selling or Scraping: We never read, index, analyze, or sell customer documents or personal identity numbers (such as Aadhaar or PAN details) to any third party, advertiser, or data broker.

3. Information We Collect from Merchants

When you register a store on InkMate, we collect:

  • Account Information: Store name, owner name, business address, email address, and mobile phone number for authentication and OTP delivery.
  • Shop Configuration: Custom pricing rules (per-page rates for B&W and Color, duplex discounts), UPI Virtual Payment Address (VPA) for receiving direct customer payments, and branch locations.
  • Device & Printer Metadata: Connected printer names, driver profiles, paper tray status, and pairing tokens required for local desktop spooling.
  • Transaction & Billing Data: Plan selection, subscription status, and invoice records. Payment card and bank account details are handled directly by RBI-authorized payment gateways (such as Razorpay); InkMate never stores raw credit card numbers or banking passwords.

4. How We Use Information

Information collected is utilized exclusively for genuine operational purposes:

  • To route print jobs from customers to your specific shop printers in real time.
  • To dispatch transactional WhatsApp notifications confirming order totals and print status.
  • To ship physical countertop QR acrylic standees and sticker kits to your store address.
  • To provide direct engineer assistance over phone or WhatsApp for paid plan subscribers.
  • To detect and prevent fraudulent account creation or unauthorized device connections.

5. Data Sharing and Third-Party Processors

We only share data with trusted infrastructure providers required to operate our software:

  • Payment Processors: Razorpay for processing subscription dues and partner payouts in accordance with RBI guidelines.
  • Cloud Hosting: Secure cloud infrastructure and encrypted database servers located in ISO-certified data centers.
  • Communication Gateways: WhatsApp Business API and transactional SMTP providers for sending verification codes and order updates.
  • Legal Compliance: When strictly required by law, court order, or competent government authorities under Indian law.

6. Merchant Rights and Data Retention

As a registered merchant, you have the right to access your store data, update pricing matrices, export transaction logs, or request complete account deletion. Upon receiving an account termination request, all associated store credentials, paired printer tokens, and device identifiers will be permanently deactivated within thirty (30) days.
